Privacy Policy

ClubhouseOS LLC ("we," "us," or "our") operates the clubhouseos.com website (the "Site") and the TurfLytics mobile application (the "App"). This Privacy Policy explains what information we collect, how we use it, and the choices available to you, across both the Site and the App.

The Site and the App serve different purposes and collect different information, so this Policy is organized into two parts:

Part I covers clubhouseos.com, our marketing website.

Part II covers the TurfLytics mobile application.

If you're a visitor to our website, Part I applies to you. If you're a TurfLytics App user, Part II applies to you. Sections 3 and 4 at the end apply to both.

PART I — CLUBHOUSEOS.COM WEBSITE

I.1 Information We Collect

Contact form submissions. When you submit a contact form on our Site, we collect personal information you provide, such as your name, email address, and any other details you choose to include.

Automatically collected data. When you visit our Site, certain information is automatically collected, including your IP address, browser type, device information, and the pages you visit. We use Google Analytics 4 and Google Tag Manager to analyze how visitors interact with our Site and to facilitate remarketing campaigns.

I.2 How We Use Your Information

Responding to inquiries. We use the information you provide on contact forms to follow up on your requests, questions, or comments.

Advertising and remarketing. We use cookies and tags (including from Google) to create remarketing lists, which allow us to show targeted ads to previous visitors of our Site. These ads may appear on third-party websites across the internet.

Site analytics. We use Google Analytics 4 to track and report Site traffic, helping us understand how visitors engage with our Site so we can improve our content, layout, and services.

I.3 Cookies and Tracking Technologies

Our Site is hosted on Google Sites, which automatically places cookies in your browser to support core functionality. We also use cookies, pixels, and similar tracking technologies to:

- Remember your preferences and personalize your experience

- Analyze usage patterns and optimize Site performance

- Enable remarketing and advertising campaigns on third-party platforms, such as Google Ads

Most web browsers let you control and manage cookies through their settings. If you disable cookies, some features of our Site may not function properly.

I.4 Disclosure of Your Information

We do not sell or rent your personal information to third parties. We may share personal information in the following circumstances:

- Service providers. We may share information with trusted service providers who help us operate, analyze, or advertise on the Site (for example, Google, for analytics and remarketing).

- Legal compliance and protection. We may disclose information if required by law, or to protect our rights, property, or safety.

I.5 Data Retention and Security

We retain personal data only as long as necessary to fulfill the purposes described in this Part, or as required by law. We implement reasonable security measures, such as secure hosting and encryption where possible, to safeguard your information against unauthorized access.

I.6 Your Rights and Choices

- Access and correction. If applicable law grants you the right to request access to or correction of your personal data, you can contact us (see Section 4 below).

- Opt-out. You may unsubscribe from marketing emails at any time using the "unsubscribe" link in our emails.

- Ad choices. To opt out of personalized ads served by Google, adjust your settings at Google Ad Settings (https://adssettings.google.com/).

- Do Not Track. Our Site does not respond to Do Not Track browser signals.

PART II — TURFLYTICS MOBILE APP

The App is intended for golf course maintenance professionals and is currently offered to users in the United States.

II.1 Information We Collect

Account information. Your email address and, if you choose to provide one, a display name, used to create and secure your account. Accounts are created and managed through Google Firebase Authentication.

Course affiliation. The golf course you are associated with and your role or level of access at that course. This is typically established by us or by a course administrator, who may invite you by email.

Records you submit. Operational and agronomic records related to golf course maintenance that you enter into the App, which may include observations, product application records, cultural practice logs, measurements, and any photographs you attach to these records. These records are associated with the account that submitted them.

Photos. If you attach a photo to a record, the App accesses only the specific image you select or capture using your device's camera or photo picker.

Location information. With your permission, the App may collect your device's location to associate it with certain records, such as product applications, or to display your position on a course map. Location is collected only while you are actively using these features; providing it is optional and other App functionality remains available if you decline.

Voice input. If you use your device's built-in dictation feature to enter text, audio is processed by your device's operating system in accordance with that platform's privacy policy. We receive only the resulting text.

Feedback. If you submit feedback through the App, we receive your message along with certain technical information, such as your device's operating system and the screen from which the feedback was submitted.

Local storage. The App stores data locally on your device so that it can be used without an internet connection, syncing when connectivity is available. Locally stored data is removed if you uninstall the App.

Advertising and tracking. We do not use advertising identifiers, and we do not engage in cross-app or cross-site tracking. We do not use advertising networks or sell information to third parties for advertising purposes.

Usage and diagnostic data. We may collect information about how the App is used, and about errors or crashes, to help us maintain and improve the App. Any third-party service used for this purpose will be listed in Section II.4.

II.2 How We Use Your Information

- To operate the App, including saving your records, syncing them across your devices, and displaying them to authorized users at your course

- To calculate agronomic values from information you enter, such as growth potential, clipping-volume trends, and green speed

- To retrieve weather and satellite imagery relevant to your course's location

- To understand how the App's features are used and to identify and resolve errors or crashes

- To respond to feedback and support requests

- To send service-related communications, such as invitations, password resets, and account notices

- To send product-related communications, such as updates and beta program information, which you may opt out of at any time

II.3 Aggregated and De-Identified Data

We may use records submitted through the App, including observations, measurements, and associated photographs, in aggregated or de-identified form for purposes such as improving the App's calculations and features, developing industry benchmarks, and conducting turfgrass research.

- We do not sell such data.

- Aggregated or de-identified data will not identify you, your course, or your club.

- We will not identify your course in any publication or marketing material without your consent.

II.4 Third-Party Service Providers

We engage third-party service providers to help operate and improve the App, including for authentication, database and file storage, server functions, mapping, satellite imagery, and weather data. These providers process information on our behalf and are subject to their own security and privacy obligations. We do not sell information to any third party.

Our current providers include Google Firebase, Mapbox, Google Earth Engine, and Visual Crossing. This list is not exhaustive and may change as the App evolves — we may add, remove, or replace providers, including to support new features, without this Policy needing to name each one in advance. The commitments in this Policy apply to any provider we engage.

We may also disclose information where required by law, or to protect our rights, property, or safety.

II.5 Data Retention and Account Deletion

You can delete your account at any time:

- In the App: Settings → Account → Delete account

- By email: write to jason@clubhouseos.com from the address on your account, and we will delete it for you. Use this if you have already uninstalled the App or cannot sign in.

When you delete your account, we delete your login credentials, your email address, your profile, and your membership in any course.

What stays: the agronomic records logged for your course — applications, observations, clipping volumes, cultural practices and similar, including any photos attached to them — remain with the course as its operational records, and in the case of pesticide applications they may be records the course is legally required to keep. These records may continue to display the display name associated with your account at the time the record was created, so that other users at your course can see who logged it. Deleting your account removes your access to the App; it does not remove your name from records you previously created.

We may also retain limited information where required by law, or to prevent fraud and abuse.

II.6 Your Choices

- Permissions. Location, camera, photo, and microphone access are optional and controlled by your device, not the App. You can grant or revoke any of them at any time in your device's system settings (on iOS: Settings → TurfLytics; on Android: Settings → Apps → TurfLytics → Permissions).

- Communications. You may opt out of product-related communications using the link provided in any such message.

- Access and correction. Contact us and we will help you access or correct the information we hold about you.

II.7 Security

Information is transmitted over encrypted connections (HTTPS/TLS) and encrypted at rest by Google wherever it is stored in Firebase. Access is scoped to your course, so signing in gives you access only to your course's records. No system is completely secure, but we take reasonable steps to protect your information.

Photo links. Photos are stored using access links that do not require sign-in. While these links are not publicly discoverable, anyone with a specific link can view the associated photo, including if it is forwarded outside your course. We recommend treating a photo link as you would any other shared file link.

II.8 Children's Privacy

The App is intended for golf course maintenance professionals and is not directed to children under 13. We do not knowingly collect information from children under 13. If you believe a child has provided us information, please contact us and we will delete it.

3. Changes to This Policy

We may update this Policy from time to time, for either Part or both. The effective date at the top of this page indicates when it was last revised. If a change materially affects how we handle your information under Part II, we will also notify App users through the App or by email.
